Job Title: Receptionist / Administrative Assistant
Job Summary
- The ideal candidate is the first point of contact for a company, responsible for managing front-desk activities and ensuring smooth daily operations.
Key Responsibilities
- Greet and welcome visitors, clients, and employees.
- Answer and direct phone calls professionally.
- Manage visitor logs and security procedures.
- Schedule and coordinate appointments and meetings.
- Handle incoming and outgoing mail, emails, and deliveries.
- Maintain office supplies and manage inventory.
- Address inquiries and provide accurate information.
- Assist customers and employees with their needs.
- Resolve basic complaints or escalate them to the appropriate department.
- Maintain and update company records and databases.
- Prepare reports, letters, and documentation as required.
- Handle billing, invoicing, or basic accounting tasks (if required).
- Support HR and administrative teams with clerical tasks.
- Ensure the reception area is clean and organized.
- Assist in organizing company events or meetings.
- Strong communication and interpersonal skills.
- Multitasking and time management abilities.
- Basic computer skills (Microsoft Office, email, scheduling software).
- Professionalism and a friendly demeanor.
- Problem-solving and adaptability.
