Receiving a response from the hiring manager it’s exciting after submitting your resume and cover letter for an intriguing position.

You have a chance to make a good first impression on a hiring manager or recruiter by responding to an email invitation to an interview.

Email is frequently used by hiring managers and recruiters to request an interview with job candidates.

Your response can differentiate you from other candidates. A prompt and sincere response can demonstrate your professionalism and make a lasting impression.

How to Respond to Interview Question

Timely Response

Employers want to move as quickly as possible through the lengthy job interview process.

By responding promptly to any messages they send you, you can make their lives easier.

You should respond within the first 24 hours of receiving the interview request.

Show Gratitude

Immediately convey your gratitude for the interview opportunity.Thank the recruiter or hiring manager for considering your job application and scheduling an interview before you begin your interview acceptance email.

Gratitude is a wonderful way to demonstrate that you value their time.It also suggests that working with you will probably be pleasant.)To reaffirm your interest in the position, state your enthusiasm for it next.

The hiring manager will see this as evidence of your enthusiasm, professionalism, and politeness.

Provide your own availability if the hiring manager did not include any interview times.

Acknowledge Availability

Immediately include your phone number and your availability if you are interested in the position.

If you have any scheduling conflicts that you are unable to reschedule, such as caregiver responsibilities, inform the hiring manager politely that you are unavailable at that time and provide a few other convenient times.

The time, date, and location of the interview (via phone, video conference, or on-site at an office building) are already included in some email requests for interviews.

Provide your own availability if the hiring manager did not include any interview times.

Ask Follow-Up Questions

If you think it would be appropriate, ask about other interview details like the size of the hiring panel, the steps in the hiring process, and whether the company needs any additional information (like work samples or a phone number).

Include any additional inquiries you have regarding the company in the email.If your interview is on-site, inquire about which materials you should bring, if any such as a hard copy of your resume with you.

If the interview is in person, make sure you know exactly where to go.If the initial email does not specify the office’s location, confirm it.

Keep it Professional

Keep your correspondences polite and try not to utilize emojis or language that could be viewed as excessively relaxed.

Thank the hiring manager once more for their consideration at the end of the email.

Mention that you are looking forward to your interview. Close down with an expert “best respects,” “genuinely,” or “thank you once more,” trailed by your name and email signature.

Example Response to Reschedule

I am excited to potentially join the team at (company name), so please let me know if you can meet at any alternative times. Next week, I am available on Wednesday between 9:00AM and 11:00AM.

Example Response to Decline

Hi NAME,
