Job Title: Legal Secretary

Activities

  • Draft, proofread, and format legal documents, including pleadings, contracts, and correspondence.
  • Prepare and file legal documents with courts and administrative agencies.
  • Maintain and organize case files and legal documentation, both electronic and physical.
  • Schedule appointments, court dates, and meetings for attorneys and clients.
  • Manage attorneys’ calendars, ensuring efficient time management.
  • Answer and direct incoming calls, taking accurate messages as needed.
  • Communicate with clients, witnesses, and other stakeholders to gather information and provide updates on case progress.
  • Assist clients with inquiries regarding case status and documentation requirements.
  • Conduct legal research as directed and summarize findings for attorneys.
  • Ensure compliance with legal procedures and deadlines by monitoring case timelines and filing requirements.
  • Assist with billing processes, including tracking billable hours and preparing invoices.
  • Maintain accurate records of expenses and client billing statements.
  • Maintain office supplies and equipment, ensuring the workspace is organized and functional.
  • Assist with other administrative tasks as assigned by attorneys or supervisors.

Candidate Profile

  • High school diploma or equivalent; an associate degree in paralegal studies or related field preferred.
  • Minimum of 2 years of experience as a legal secretary or in a similar administrative role within a legal environment.
  • Proficient in legal terminology and procedures.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and legal software (e.g., [insert relevant software]).
  • Ability to manage multiple tasks and prioritize effectively.
  • Strong problem-solving skills and a proactive attitude.
  • Confidentiality and professionalism in handling sensitive information.
