Job Title: Senior Executive Assistant

Activities

  • Serve as a strategic partner to the MD, providing counsel on priorities, managing time effectively, and assisting in decision-making processes.
  • Work closely with the MD to align the executive agenda with the company’s strategic goals and key initiatives.
  • Track progress on strategic projects and key performance indicators (KPIs) to ensure timely execution of organizational objectives.
  • Assist in developing and executing strategic initiatives on behalf of the MD, offering insights based on data and market analysis.

Communication & Relationship Management:

  • Act as the primary liaison between the MD and internal/external stakeholders, ensuring smooth communication and collaboration.
  • Draft, review, and edit high-level correspondence, presentations, and reports on behalf of the MD, ensuring alignment with the company’s strategic messaging.
  • Manage complex relationships with key partners, clients, and board members, representing the MD in high-stakes interactions when necessary.
  • Facilitate high-level communication across departments, ensuring consistent alignment and follow-up on MD directives.

Project Management:

  • Provide project management support by overseeing special projects, including tracking progress, managing timelines, and ensuring that strategic initiatives are successfully completed.
  • Coordinate with various departments on cross-functional initiatives, ensuring that strategic goals are executed according to the MD’s directives.
  • Provide regular project updates and reports to the MD, identifying risks, potential roadblocks, and solutions for mitigation.

Meeting and Event Coordination:

  • Manage and coordinate executive-level meetings, including agenda preparation, gathering of relevantmaterials, and ensuring follow-up on key action items.
  • Collaborate with various departments to prepare reports, presentations, and briefing documents for meetings with stakeholders, ensuring the MD is fully informed.
  • Schedule and prioritize the MD’s time, ensuring critical meetings, conferences, and events are effectively coordinated and align with strategic objectives.

Calendar and Travel Management:

  • Oversee the MD’s complex calendar, ensuring seamless coordination of internal and external engagements.
  • Anticipate scheduling conflicts and proactively resolve issues while ensuring the MD’s time is optimized for high-impact activities.
  • Plan and execute travel itineraries for domestic and international business trips, ensuring logistics align with business goals and preferences.

Document and Information Management:

  • Manage sensitive and confidential documentation, ensuring secure storage and efficient retrieval systems.
  • Assist the MD with drafting high-level business documents, reports, proposals, and presentations.
  • Ensure that records, files, and data are organized and accessible for strategic decision-making. Leadership and Mentoring:
  • Assist the MD in managing internal teams, providing oversight on key projects, and ensuring deadlines are met.
  • Provide leadership in organizing corporate events, board meetings, and key strategic gatherings.

Confidentiality & Discretion:

  • Handle highly sensitive and confidential information with the utmost discretion, serving as a trusted advisor to the MD.
  • Manage confidential business decisions, legal matters, and strategic discussions, ensuring privacy and professionalism in all interactions.
