Job Title: Office Assistant

Description

  • The Office Assistant for a Drop Innovations plays a key role in ensuring smooth day-to-day operations by providing administrative support.
  • This position requires a detail-oriented individual who can handle various tasks related to office management, customer service, and logistical coordination.

Key Responsibilities
Administrative Support:

  • Answer phone calls, emails, and handle customer inquiries.
  • Schedule appointments and meetings for management and staff.
  • Maintain and organize office files, documents, and records.
  • Assist with preparing reports, invoices, and other documentation.

Customer Service:

  • Communicate with clients regarding service inquiries, delivery schedules, and issues.
  • Process customer orders and update status.
  • Coordinate with drivers and clients to ensure timely deliveries.

Logistical Coordination:

  • Help track shipments, monitor delivery schedules, and address delays or issues.
  • Assist in the preparation of shipping routes and schedules for drivers.
  • Communicate with warehouse and drivers to ensure efficient cargo movement.

Data Entry & Recordkeeping:

  • Input and update data in transportation management systems.
  • Track inventory, shipments, and vehicle maintenance records.
  • Maintain accurate driver logs and vehicle documents.

Office Maintenance & Supplies:

  • Manage office supplies and place orders as needed.
  • Ensure the office is well-organized, clean, and equipped.

General Support:

  • Provide support to management and staff with ad-hoc tasks as required.

Qualifications

  • High School Diploma or equivalent; some college or administrative certifications preferred.
  • Previous experience in an office assistant or administrative role, preferably in a transportation or logistics setting.
  • Strong organizational and multitasking skills.
  • Excellent communication and customer service skills.
  • Proficient in MS Office Suite (Word, Excel, Outlook).
  • Familiarity with transportation management systems or logistics software is a plus.
  • Ability to work in a fast-paced environment and handle multiple tasks efficiently.

Working Conditions:

  • Full-time position, Monday through Friday (hours may vary based on operational needs).

Salary & Benefits

  • NGN 50.000,00 / Month (Based on experience).
  • Health insurance, paid time off, and other benefits.
